    1. About Our Services

Gold Coast Headshot Photography provides specialist commercial photography services for professionals, businesses and organisations.

Our services include professional headshots, LinkedIn headshots, corporate portraits, executive portraits, personal branding photography and team headshots.

These services are provided for professional, career related, business and commercial purposes.

By confirming a booking, you agree to the applicable quotation, booking conditions and these Service Terms and Conditions.

    2. Bookings and Payments

Photography sessions are subject to availability and booking confirmation.

Prices, session inclusions, deposits and payment requirements will be communicated before a booking is confirmed.

Additional services, images, retouching or special requirements may attract additional charges.

Any additional charges will be communicated and agreed upon before the additional work proceeds.

    3. Photography Sessions

Photography sessions include professional guidance with posing, posture, facial expressions and presentation.

We aim to capture a suitable range of photographs during the allocated session.

Clients are responsible for arriving on time and preparing appropriate clothing, grooming and other presentation requirements.

Session durations are indicative unless otherwise specified in the booking confirmation.

    4. Image Selection and Retouching

Where applicable, clients will be provided with an opportunity to select their preferred photographs for final preparation.

Standard professional retouching aims to produce a clean, natural and professional appearance while retaining realistic skin texture and individual character.

Advanced retouching, complex alterations, background replacement and additional images may attract separate charges.

Unselected images and original camera files are not included in standard photography packages unless expressly agreed in writing.

    5. Image Delivery

Purchased final photographs are supplied as retouched, full resolution JPEG files, with a minimum of 5,000 pixels on the longest edge.

Clients may resize, crop and prepare these files for uses permitted under their agreed image licence, or provide them to their employer, designer or other service provider for those purposes.

Custom crops, resized versions, alternate file formats, background removal and transparent versions are optional services unless expressly included in the quotation or booking agreement. Any additional charges will be agreed before work proceeds.

Delivery arrangements and expected turnaround times will be communicated as part of the booking or image selection process. Clients are responsible for downloading and maintaining appropriate backups of their delivered photographs. We do not guarantee indefinite storage of original or completed image files.

    7. Client Image Usage Licence

Upon payment of the applicable fees, clients receive a non-exclusive licence to use their purchased final photographs for ordinary professional and commercial purposes.

    • LinkedIn and professional networking profiles.
    • Company websites and staff directories.
    • Business profiles and biographies.
    • Professional marketing and advertising.
    • Social media and personal branding.
    • Corporate communications and publications.
    • Speaker profiles, media releases and professional presentations.
    • Resumes, employment applications and career related materials.

Clients may provide their purchased photographs to employers, designers, publishers, marketing agencies and other service providers for these permitted purposes.

The licence does not include ownership of copyright or the right to sell, commercially license or transfer the photographs as standalone photographic products.

Any usage restrictions specified in an individual agreement take precedence.

    8. Portfolio and Promotional Usage

Gold Coast Headshot Photography retains the right, subject to applicable law and agreed restrictions, to use photographs created during commercial photography sessions to demonstrate and promote its professional photography services.

    • Website portfolios and photography galleries.
    • Social media and professional networking platforms.
    • Promotional materials and advertising.
    • Printed and digital marketing publications.
    • Photography competitions, exhibitions and professional portfolios.
    • Examples of photographic work presented to prospective clients.

Such usage will be undertaken professionally and in a manner consistent with the nature of the original photography assignment.

Photographs will not knowingly be used to imply an unrelated personal or commercial endorsement by the subject.

    9. Confidentiality and Restricted Image Usage

Our standard commercial photography arrangements provide for portfolio and promotional usage as described above, subject to applicable law.

Clients who require confidentiality, restricted publication or exclusive image usage must advise Gold Coast Headshot Photography before confirming their booking.

Confidentiality arrangements, restrictions on portfolio usage and exclusive image rights attract additional fees to listed package prices.

Any such arrangements and associated charges must be agreed in writing before the photography session.

A confidentiality agreement does not automatically transfer copyright ownership.

Copyright assignment or exclusive licensing arrangements must be negotiated separately.

    10. Corporate and Team Photography

For photography commissioned by a business or organisation, the booking representative is responsible for coordinating participating staff and communicating relevant photography arrangements.

The commissioning organisation receives the agreed usage rights for purchased photographs.

These rights may include company websites, staff directories, corporate communications, marketing materials and other ordinary business uses.

Organisations are responsible for ensuring their proposed use of staff photographs complies with applicable employment, privacy and other legal requirements.

Where special confidentiality or publication restrictions apply to an organisation or individual participant, these requirements should be disclosed before booking.

    11. Changes, Cancellations and Rescheduling

Clients should contact us as soon as possible if they need to change or cancel a booking.

Any applicable cancellation fees, deposits, rescheduling conditions or non-refundable expenses will be disclosed during the booking process or in the relevant quotation.

Where circumstances beyond our reasonable control prevent a scheduled session from proceeding, we will work with the client to arrange a suitable alternative or otherwise resolve the booking in accordance with applicable law.

    12. Creative Direction and Results

Gold Coast Headshot Photography provides professional photographic expertise, direction, lighting and image preparation.

Photography is a creative service, and the appearance of finished photographs will depend on factors including the subject, clothing, lighting, environment and agreed creative direction.

We will use reasonable care and skill to deliver photographs consistent with the agreed service.

Individual preferences and subjective expectations do not guarantee a particular photographic result.

Nothing in these terms excludes rights or remedies available under Australian Consumer Law.

    13. Additional Services and Charges

Services outside the agreed photography package may attract additional charges.

Examples include additional image selections, advanced retouching, background changes, file preparation, alternate formats, additional photography time, specialist delivery requirements and logistics cost recovery.

Any additional services and applicable charges will be communicated before proceeding.

    14. Australian Consumer Law

Our services are provided in accordance with applicable Australian law.

Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.

    15. Privacy

Personal information and photographs are handled in accordance with our Privacy Policy and applicable Australian law.
